Saint Francis of Assisi school was opened in 1929. We presently occupy three buildings, with the Pre-School classes held in the building adjacent to Conway Hall. The stone school building contains classrooms for Kindergarten, Grades 1-3, main  office, computer lab, nurse's office, Delaware County Intermediate Unit  remediation and counseling room. The brick building presently contains classrooms for Grades 4-8, principal's office, faculty room, Honors math classroom and contains a combination auditorium/gymnasium. St. Francis of Assisi School has been accredited by the Middle States Association of Colleges and Schools since 1984.

Home and School Board Job Descriptions


President

(2 year position)

The President shall preside at all meetings, give leadership to the organization, stimulate all members to their best efforts on behalf of this Association; shall also be a member ex officio of all committees; and shall perform all other duties usually pertaining to the office.

Specific Duties:

·      Presides over Executive Board and all general meetings.

·      Prepares the agenda for the Executive Board meetings.

·      Coordinates Home & School activities in conjunction with event chairpersons.

·      Attends all or most of the scheduled activities of the Home & School Association.

·      Acts as liaison between the Home & School Association and other parish ministries (CYO, Development, etc.) and community groups.

·      Works cooperatively with the Principal to insure communication between the Home & School Association and the school administration, faculty and parish ministries.

Time Commitment:  The time commitment for this position is fairly extensive and requires some daytime availability for meetings and/or activities.  If the President is a working parent they should have a flexible work schedule.


Vice-President

(2 year position)

The Vice-President shall perform the duties of the President in his/her absence and if the office of President becomes vacant he/she shall assume the duties of the president until the next annual election. He/She shall also be an ex-officio member of all committees.

Specific Duties:

·      Acts in the absence of the President and performs other duties as assigned.

Time Commitment:  The time commitment for this position is fairly extensive and requires some daytime availability for meetings and/or activities.  If the Vice President is a working parent they should have a flexible work schedule.


Treasurer

(2 year position)

The Treasurer supports and facilitates all financial activities in support of H&S Association including, satisfying payments for obligations, monitoring cash position and maintaining accurate records.

Specific Duties:

·      Maintain control of single bank checking account in name of SFA H&S Association.

·      Satisfy all obligations by timely rendering payments via check, debit card and/or cash Several hundred payments are processed annually.

·      Securing receipt and making deposit of most cash/check proceeds, generally on a not less than weekly basis during school year.

·      Monitoring payment and deposit activity processed by others.

·      Maintaining accurate financial records with adequate supporting documentation. This may include a combination of hardcopy support and electronic record keeping.

·      Timely preparation of Statements of Profit and Loss on a cash basis of accounting. Financial reporting is currently enabled through Quickbooks Online software electronically linked to an online banking feed.

·      Supply starter cash as necessary for various H&S sponsored events.

·      Reporting to Parish as necessary, at least annually.

·      Assist H&S Board to make sound financial decisions based on current and projected cash resources.

Qualifications & Experience

·      Detail oriented

·      Analytical thinking

·      Familiarity with managing cash and organizing a high volume of financial transactions.

·      Familiarity with online banking and basic accounting software applications.

·      Collaborative; ability to coordinate activities across a diverse group of parties involved.

Time Commitment:

·      Generally 2-4 hours a week during school year.

·      Flexible timing; training and support available.

·      Must be able to attend monthly board meetings (1 hour/month). 


Secretary

(2 year position)

The secretary is responsible for keeping an accurate record of the proceedings of the Home & School Association meetings and produces the Home & School newsletter.

Specific Duties:

·       Keep an accurate, concise, permanent record of the proceedings of all meetings of the association and of the executive board.

·       Have on hand for reference at each meeting a copy of the bylaws and the minutes of previous meetings.

·       Prepare the minutes and email copies to each member of the board soon after each meeting.

·       Make all corrections to the official minutes.

·       Responsible for making any updates to the bylaws of the association.

·       Coordinates the production of the Home and School newsletter in conjunction with the Marketing/Publicity Chairperson.  Monthly issues are produced and distributed electronically to the membership via the Tuesday Envelope. These issues are also made available to members on the school’s website.

·       Assist in other areas as needed.

Time commitment:  This does not require a large time commitment.  Must be able to attend monthly board meetings (1 hour/month).    Preparing and distributing of minutes is most time-consuming task.  Production of the newsletter can be done at your convenience.  This job is great for a working parent.


Technology

(2 year position)

This person acts as technology liaison to Saint Francis of Assisi school and provides technology guidance when needed.

Specific Duties:

·      Weekly maintenance of the Saint Francis of Assisi website.

·      Assistance with online payment collection via PayPal for school events.

·      Account maintenance for all @sfaschool.com email accounts.

·      Technical assistance for issues relating to the SFA website.

Qualifications:

·      Access to a computer and the internet

·      Intermediate level computer skills

·      Website experience is a plus

·      Training will be provided at the beginning of the 2-year term assignment

Time commitment: Approximately 30-minutes per week. This can almost all be done from home with occasional visits to the school to offer in person technology assistance and training.  This job can be done from work or home so a great job for a working parent. Must be able to attend monthly board meetings (1 hour/month). 


Spirit Wear Coordinator

(2 year position)

The Spirit Wear coordinator is responsible for the design, development, marketing, sales and customer service for SFA school spirit wear

Specific Duties:

·      Manage merchandise vendors including periodic review of vendor sales profit sharing, invoice review and processing to SFA H&S board Treasurer (3 preferred, local vendors established).

·      Plan SFA online store powered by the apparel vendor twice per school year (Fall for sales of winter gear and Spring for sales of warm weather gear).

·      Partner with the apparel vendor to select and design merchandise, establish size ranges, colors, develop timeline with vendor for store preparation, open sales, and delivery back to the customers.

·      Conduct face to face meeting with primary apparel vendor.

·      Manage on-campus inventory comprised of lower price point merchandise including storage.

·      Responsible for sales of on-campus inventory either ad hoc, via SFA school website or at pre planned school events such as the “Back to School Block Party, Santa Shop, Home and School General Meetings, and other identified opportunities for spirit wear sales.

·      Solve any merchandise issues, questions with customers.

·      Survey customers annually for feedback on product quality, desired merchandise and collate data on responses for further planning.

·      Develop flyers for Tuesday envelope communication regarding opportunities for sales.

·      Partner with the Technology chairperson to maintain the Spirit Wear portal on the SFA school website including updated photographs and pricing of merchandise.

·      Liaise back to the Home and School Board on planning, execution, etc.

·      Seated on the Home and School Board.

Time commitment

·      Recommend the spirit wear coordinator role is shared across 2 volunteers

·      This role can be successfully held by a working parent; suggest that 1 of the 2 volunteers has daytime availability 2-3x year to meet with the apparel vendor

·      Must be able to attend monthly board meetings (1 hour/month). 

Peaks of volunteer time

·      September- Planning and execution of back to school block party

·      October, November- Planning, go-live of SFA online store via vendor

·      December- Delivery of SFA online store via vendor and planning and execution of Santa Shop

·      April, May- Planning, go-live of SFA online store via vendor

·      June- Delivery of SFA online store via vendor


The marketing chairperson is responsible for implementing a communications strategy for the school’s digital, marketing, and public relations efforts.

Specific Duties:

·      Responsible for the promotion and marketing of the school to new and current families and the community.

·      Creates press releases for local newspapers.

·      Promotes the EITC/OSTC program to current families.

·      Spearheads the school’s social media presence.

·      Aids the Secretary in the production of the Home & School newsletter.

·      Assist in other areas as needed.

Time Commitment:  This does not require a large time commitment.  Must be able to attend monthly meetings (1 hour/month).  The majority of the done at your convenience.  This job is great for a working parent.

Marketing/Publicity

(2 year position)


The Home & School Sunshine Coordinator is responsible for the following:

Specific Duties:

·      Writing letters to welcome and/or reach out to incoming and potential school families.

·      Writing thank you notes from the Home & School Board.

·      Purchasing, delivering, or sending various forms of sunshine to school members in time of need (condolences, well-wishes, congratulations).

·      Delivering welcome lawn signs to new students the week prior to school.

·      Assist in other areas as needed.

Time Commitment:  The time for this position varies, dependent upon what is happening with school families. Must be able to attend monthly board meetings (1 hour/month). 

Sunshine Coordinator

(2 year position)

 


The Hospitality position provides assistance to school-related meetings and functions by obtaining and setting up refreshments prior to these events.

Specific Duties:

·      Acts as official host of a Home & School in creating welcoming atmosphere at meetings and events.

·      Works with committee and other chairman to organize and set up refreshments, food, decorations, registration, for Home & School meetings and events.

·      Maintains hospitality supplies.

·      Assist in other areas as needed.

Time commitment:  The time commitment for this position is minimal.  Needs to be available on the day of the event to set up refreshments. Must be able to attend monthly board meetings (1 hour/month).  This position could be held by a working parent with some daytime flexibility.
